Staff orientation & trainings, Child records, Staff Qualifications, Parent communication, Field trip

  • 8VAC20-780-240: Staff Orientation- A. The VDOE-sponsored orientation course shall be completed within 90 calendar days of employment. VDOE is a 10-hour preservice training (orientation) for which we pay labor hours for no actual labor. The training can be either redundant or irrelevant to our Clubs.  An estimated 2hours of the initial 10hr preservice trainings do not apply to the age groups served at BCGHR....for which we pay labor hours since it is required training. We have BGCA orientations and trainings already AND many of our staff (part-time) don't stay employed with us longer than our eight-week summer camp.  Language could be "VDOE or other Nationally-associated agencies with established equivalent orientations approved by VDOE..." We seek to make trainings relevant to age groups and the organizations. Those that have national governing bodies with established orientations, onboardings and safety measures in place should be provided exemptions.
  • 8VAC20-780-245: A. Staff shall complete annually a minimum of 16 hours training appropriate to the age of the children in care. B. Training completed to meet the requirements of this section shall be in addition to completing orientation requirements in 8VAC20-780-240.  Boys & Girls Clubs of America requires annual trainings and a professional development plan for each staff person. As mentioned BGCA trainings overlap with the relevant trainings in the VDOE trainings. And, many of our seasonal staff who come back each summer get adequate training from us rather than a mandated annual hour requirement.
  • VAC20-780-60-A: Each center shall maintain and keep at the center a separate record for each child enrolled which shall contain the following information - VDOE requires us to obtain information that does not apply to our program.
  • 8VAC20-780-210-A: Program leaders shall be at least 18 years of age, have fulfilled a high school program completion or the equivalent, and meet one of the following - VDOE requires qualifications of BGCHR staff that are not applicable or necessary to our program.
  • 8VAC20-780-420-3: Parents shall be provided at least semiannually in writing information on their child's development, behavior, adjustment, and needs. (d) Short-term programs are exempt from this requirement.  We provide communication to parents as needed. Children can be in our program for a school semester, just eight weeks or come in and out of the program as parents' schedules change.
  • 8VAC20-780-580-I: Before leaving on a field trip, a schedule of the trip's events and locations shall be posted and visible at the center site. - This is a major safety hazard for alerting others in our public and school-based sites on the destinations/whereabouts of our youth! We let our parents know via our private login electronic communication.
